Privacy Policy
This policy explains how SuiteNex LLC (“SuiteNex”, “we”, “us”) handles information. The reference privacy frameworks set out below (GDPR, UK GDPR, TDPSA, and OECD Guidelines) govern SuiteNex LLC’s conduct with respect to this corporate site and to all services, platforms, and SaaS products we commercialize under the SuiteNex brand or under any group product. Each product may also publish its own operational policy, which develops —without contradicting— these common principles.
1. Controller and roles
The controller of personal data on this website and for corporate account administration of our SaaS services is SuiteNex LLC.
However, with respect to information, content, and databases that our customers upload, process, or store within any of our SaaS products, the Customer acts as Data Controller and SuiteNex acts strictly as Data Processor. That relationship is governed by the applicable Data Processing Agreement (DPA) associated with the product’s Terms of Service.
2. Scope
On this corporate site we process the information needed to run the brand website and handle general inquiries. In group products and SaaS offerings, processing details (accounts, payments, identity verification, contracts, etc.) are described in each product’s own policy, always within the common principles of this policy. When a business customer uses our SaaS, the product contract and DPA prevail for all matters relating to Customer Data.
3. Information we may process
A. On our corporate website:
- Technical access data, if the server or hosting provider logs it (e.g. browser proxy IP, device type, language, timestamp, requested path).
- Language preference (ES/EN), stored locally in your browser.
- Information you voluntarily send when contacting us (name, company, message content, and contact details included in it). We do not request special categories of data (health, biometrics, etc.) on this corporate site.
B. On our platforms and SaaS environments (account management data):
- Registration and profile data (name, email, access credentials, company, role, and configuration preferences).
- Billing and transaction data required to process subscriptions through our certified payment providers (who process financial data directly and securely).
- Software usage metadata and telemetry (audit logs, error logs, and aggregate usage statistics for technical optimization).
4. Purposes and legal bases
- Operate and protect the corporate site and platforms (availability, security, diagnostics) — Legitimate interest.
- Respond to your commercial, press, or general inquiry — Legitimate interest and/or pre-contractual steps at your request.
- Provide, maintain, and bill our SaaS services — Performance of a contract.
- Comply with legal, tax, and accounting obligations where applicable — Legal obligation.
- Marketing communications if you subscribe or expressly authorize them — Revocable consent.
5. Cookies and local storage
The home page uses local storage only to remember your language preference. We do not install third-party advertising cookies on this holding site. Group SaaS platforms use technical and essential cookies to keep the user session secure. If a sub-product adds advanced analytics or other widgets, it will request prior consent in its own interface in accordance with local law.
6. Processors, hosting, and transfers
The site and group services are primarily hosted on cloud or VPS infrastructure with access and storage in the United States. We may use sub-processors and providers of hosting, IT infrastructure, support, email, or messaging to operate the brand and deliver services.
When personal data is transferred outside your country of residence (in particular outside the European Economic Area or the United Kingdom), we will apply, in addition to appropriate technical measures, updated Standard Contractual Clauses (SCCs) of the European Commission or other equivalent legitimate transfer mechanisms, and will carry out a Transfer Impact Assessment (TIA) to ensure a substantially equivalent level of protection. Processing regions and product-specific sub-processors are described in that product’s policy or DPA.
7. Sale, profiling, and advertising
We do not sell personal data and we do not use it for third-party behavioral advertising on this site or in our SaaS products. If that practice changed, we would notify you and provide any opt-out mechanisms required by law.
Under the TDPSA, CCPA/CPRA, and other U.S. state privacy laws: we will not discriminate against or retaliate against any user for exercising their privacy rights. You also have the right to opt out of processing of your data for profiling in furtherance of decisions that produce legal or similarly significant effects.
8. Your rights
Depending on your jurisdiction, you may exercise the following general rights over your personal data:
- Access and data portability.
- Correction of inaccurate or incomplete data.
- Deletion or erasure of data, where legally applicable.
- Objection to or restriction of certain processing.
- Withdrawal of consent previously given, without retroactive effect.
To exercise your privacy rights, email privacy@suitenex.com with “Privacy / data subject rights” in the subject line. Before processing any request —and in particular before disclosing or modifying production data or active SaaS accounts— we will implement strict identity verification measures to prevent unauthorized access or impersonation fraud.
If you are in the EEA or the United Kingdom and believe we have not handled your request properly, you have the right to lodge a complaint with the competent data protection supervisory authority in your country.
9. Retention
We retain contact data and SaaS account data only for as long as needed to fulfill the commercial purposes described, perform the service contract, and meet applicable legal, accounting, or claims-defense obligations. Infrastructure technical logs are retained under the hosting or cloud provider’s internal retention policies.
10. Security
We apply robust administrative, organizational, and technical measures to protect information (strict role-based access control, encryption of data in transit and at rest, secret hygiene, multi-factor authentication in development environments, and periodic control reviews), aligned with GDPR Article 32 and the standards expected under the TDPSA and CCPA. We acknowledge that no method of transmission or storage on the Internet is 100% secure.
11. Children
This site and SuiteNex SaaS services are intended exclusively for professional and business use. They are not directed to children under 13 (or the minimum legal age in your jurisdiction), and we do not knowingly collect their data.
12. Changes to this policy
We may update this holding framework policy to reflect technological or regulatory changes. The “Last updated” date at the top identifies the current version. Material changes will be prominently notified on this page or through direct notices in the control panels of our SaaS sub-products.
